Your full front office.
Without the overhead.
Dental Receptionists handles your phones, scheduling, recall, paperwork, and admin — so you can focus on the chair, not the clipboard.
No setup fees • Month-to-month • Live in 5–7 days
You went solo to do dentistry.
Not to run a switchboard.
Breaking off from a group practice means full clinical freedom — and a front desk that suddenly lands on you. That's the tax nobody talks about.
- Missed calls are missed revenue. Every unanswered ring is a patient who called the practice down the street.
- Your recall list is leaking. Patients who aren't contacted in the right window don't come back — and you don't know until the schedule looks thin.
- Insurance verification is eating your mornings. Every prior auth and eligibility check you're doing is a drill you could be running instead.
Four functions. One team. Zero gaps.
We embed into your workflow — learning your protocols, your preferences, and your patients' names — so we run like a native team member, not a call center.

Discover
60-minute call to map your current workflow: your PMS, your scheduling rules, your scripts, your escalation paths. We build the playbook; you approve it.
Onboard
We train your dedicated team on your protocols, set up call routing, and run a soft launch with your oversight. You see every interaction until you're comfortable.
Run
We handle the front office. You get a weekly report: calls answered, appointments booked, recalls completed, issues flagged. Full visibility, zero micromanagement needed.
A generalist VA doesn't know what D4341 means. We do.
Most virtual assistant services train on generic office work. They learn your dental practice on your dime. We don't do that.
Our team is trained on dental-specific workflows before they ever touch your practice: ADA procedure codes, insurance terminology, recall protocols, consent workflows, and the cadence of a dental schedule.
- CDT codes, perio charting language, crown vs. bridge workflows
- Insurance verification, EOB reading, prior auth language
- 6-month recall cadence, SRP follow-up, orthodontic check-ins
- Emergency triage scripts that route correctly every time
- HIPAA-aware patient communication handling
The front office isn't your problem anymore.

I went from spending my lunch break returning 12 calls to actually eating lunch. The ROI was obvious in the first month.
Going independent was terrifying on the admin side. Dental Receptionists made it feel manageable from week one.
They know the lingo. I don't have to explain what a perio recall is or how to handle an insurance downgrade. They just know.

How much does it cost?
Plans start at $1,497/month for core phone coverage. Full front-office support runs $2,997–$4,997/month depending on call volume and service mix. No setup fees, no long-term contracts after the 90-day ramp. See all plans →
Are your staff trained on HIPAA-aware workflows?
Yes. Every team member completes HIPAA-aware training before handling any patient communication. We follow best-practice data-handling procedures — though we are not a HIPAA-certified covered entity, and we don't make that claim.
Is your team US-based?
Our account leads and supervisors are US-based. We use a hybrid model with rigorously screened, trained international VAs for after-hours and overflow coverage — all operating on US business hours and trained specifically in dental workflows.
How quickly can we be up and running?
Most practices go live in 5–7 business days. We start with a 60-minute Discover call, build your scripts and escalation paths, then soft-launch with your oversight before full handoff.
What's in scope — what do you NOT do?
We cover: phones, appointment booking, recall, new-patient intake, insurance verification, document prep, and general admin. We do not do: dental billing, credentialing, clinical advice, or anything requiring a licensed dental professional.
What is your cancellation policy?
30 days written notice, no exit fees, no penalties. After your initial 90-day ramp period everything is month-to-month. We keep your business by earning it every month.
Do you work with our practice management software?
We've worked in Dentrix, Eaglesoft, Open Dental, Curve, and Carestream. If yours isn't on the list, we'll assess compatibility during the Discover call — most web-based PMS platforms are straightforward.
What happens when you make a mistake?
We own it. Every call is recorded, every booking confirmed back to you in real time. If we misroute a patient or make a scheduling error, we correct it immediately and document it in your weekly report. Our SLA covers response time and resolution.
